Data is provided under the following headings which run across a double page:
On the verso:
- Portfolio Number
- Approximate Number of Drawings in that particular portfolio
- Earliest Date on the Drawings
- Number of Engines
- Type of Engine
ABBREVIATIONS USED FOR TYPES OF ENGINES USED:

CB = Crank Beam |
| SP = Sun & Planet |
ChB = Chain Beam |
| SSL = Small Side Lever |
EBCh = Equal Beam Chain |
| SL = Side Lever |
UBCh = Unequal Beam Chain |
| Ind = Independent |
EBPM = Equal Beam Parallel Motion |
| Invt = Inverted |
UBPM = Unequal Beam Parallel Motion |
| Osc = Oscillating |
DbC = Driven by Cattle |

On the recto (and relating to the entries on the left hand page):
- Owner of the Engine (or in the case of Engines and Machinery supplied to Sugar Plantations - name of the relevant Agent); Owner of Vessel for Boat Engines.
- Other Details: This frequently gives information about the use of the engine e.g. was it used in a Cotton Mill, a Flax Mill, a Corn Mill or a Distillery?; for boats - how were they used and where?; any subsequent sale of the engine; site and location of the engine; amounts paid; height and eight; and any other useful details.
